Word Processing: Text Formatting and Safe Document Storage

Grade 5 (Primary 5) Term 1 • Week 8
About 35 minutes
Learning goals: Demonstrate proper two-handed typing posture on the home row keys (ASDF JKL;). • Apply font formatting: Bold, Italic, Underline, font size, and text alignment (Left, Center, Justified). • Save documents with meaningful filenames into organized folders. • Distinguish between 'Save' (updating existing file) and 'Save As' (saving with a new name or location).

In Primary 4, you learned that software brings life to computer hardware. One of the most important pieces of application software you will ever use in school, university, and your future career is a Word Processor (such as Microsoft Word, Google Docs, or LibreOffice Writer).

In this lesson, we will develop two critical skills: mastering proper keyboard typing rhythm on the home row, and styling your documents with professional formatting and safe saving habits.

Learning Outcomes

By the end of this lesson, you will be able to:

  1. Position your hands correctly on the Home Row keys (A S D F and J K L ;).
  2. Apply essential formatting: Bold, Italic, Underline, Font size, and Text Alignment.
  3. Save documents using clear, descriptive filenames.
  4. Distinguish between Save and Save As to avoid losing work.

Key Vocabulary

Term Everyday Meaning
Word Processor An application program used to type, edit, format, and print text documents.
Home Row The middle row of letter keys on a keyboard where fingers rest when typing.
Font The visual style and design of printed text characters.
Alignment How text lines up between the page margins (Left, Center, Right, or Justified).

1. The Home Row Typing Position

Look closely at the F and J keys on any physical computer keyboard. You will feel a small raised plastic bump or ridge: - Place your left index finger on F and let your other left fingers rest on D, S, and A. - Place your right index finger on J and let your other right fingers rest on K, L, and ; (semicolon). - Both thumbs rest gently above the Spacebar.

By returning your fingers to this home base after every word, you will soon type without looking down at your hands!

2. Essential Text Formatting Tools

In the top toolbar (the Ribbon) of your word processor, you will find styling buttons:

Tool Icon Keyboard Shortcut What It Does
Bold B Ctrl + B Makes text thicker and darker for strong emphasis and titles.
Italic I Ctrl + I Slants text slightly to the right, often used for definitions or book titles.
Underline U Ctrl + U Draws a clean line directly beneath the selected words.
Font Size 12 pt — Changes how large or small the letters appear.
Center Align $\equiv$ Ctrl + E Centers text equally between the left and right page margins (great for titles!).

3. File Hygiene: Save vs. Save As

  • Save As: Use this the very first time you save a new document. The computer will ask you two things:
  • What do you want to name this file? (Always use descriptive names like P5_History_BeninEmpire.docx).
  • Where do you want to store it? (Choose your designated student folder, not random places!).
  • Save (Ctrl + S): Once a document is named, pressing Ctrl + S every few minutes updates the file with your latest typing.

Worked Example: Good vs. Bad File Naming

Imagine looking for your homework file on a school computer three weeks after writing it:

  • Bad Filename: doc1.docx or homework.docx
Problem: You have ten different homeworks. Which one is this?
  • Bad Filename: asdfghjkl.docx
Problem: Meaningless gibberish typed in a hurry.
  • Good Filename: P5_SocialStudies_RiversInNigeria_Boma.docx
Why it works: It tells you the class (P5), the subject (Social Studies), the exact topic (Rivers in Nigeria), and the student's name (Boma).

Practical Class Activity: Formatting an Essay

Step-by-Step Instructions:

  1. Open a new document in your word processor.
  2. Type the following three lines:
    The Beauty of Nigeria
    Written by [Your Name]
Nigeria is a vibrant country with over two hundred languages, rich cultural traditions, and breathtaking landscapes.

  3. Highlight the first line (The Beauty of Nigeria). Make it Bold, increase the font size to 16 pt, and click Center Align.
  4. Highlight the second line (Written by [Your Name]). Make it Italic and set the font size to 12 pt.
  5. Highlight the word vibrant in the paragraph and click Underline.
  6. Click File -> Save As, navigate to your class folder, name the file P5_English_Nigeria_Essay.docx, and click Save.

Common Mistakes & Corrections

Common Mistake Why It Is Incorrect Proper Correction
"Using one finger from each hand to hunt and peck across the keys." Looking down and hunting for every letter is slow and causes neck pain. Keep fingers on the home row (ASDF JKL;) and practice using all ten fingers.
"Typing for two hours without pressing Save." If the electricity drops or the battery dies, all unsaved typing is permanently lost. Press Ctrl + S every five minutes while working.

Notebook Summary

Copy Into Your Computing Notebook

  • Rest fingers on the Home Row (A S D F and J K L ;) for efficient typing.
  • Use Bold for headings, Italics for book titles and special terms, and Underline for key vocabulary.
  • Give every file a clear, descriptive name (e.g., Class_Subject_Topic.docx).
  • Press Ctrl + S frequently to save your changes to permanent storage.
